This policy explains how Echoes of the Wild, a business name under Okavango Gear (Pty) Ltd, collects, uses, publishes, shares, and manages information submitted to the Echoes Talent Directory.
This policy supplements the main Echoes of the Wild Privacy Policy available at www.echoesofthewild.co.bw/privacy-policy.
By submitting a profile to the Echoes Talent Directory, you confirm that you have read, understood, and agreed to this policy.
1. Purpose of the Echoes Talent Directory
The Echoes Talent Directory is created to identify, showcase, promote, and connect creative talent across Botswana, Africa, and beyond.
The directory may be used by Echoes of the Wild for:
- Talent discovery and creative industry mapping
- Event planning and artist selection
- Sponsorship proposals and partnership development
- Cultural exchange programmes
- Creative business development
- Public promotion of approved talent
- Media, tourism, arts, and entertainment opportunities
- Internal research, reporting, planning, and stakeholder engagement
Submitting a profile does not guarantee selection, booking, payment, sponsorship, endorsement, or any opportunity from Echoes of the Wild or its partners.
2. Information We Collect
A Talent Directory submission may include:
- Stage name
- Full or legal name
- Creative category
- Biography
- Email address
- Phone number
- Location
- Availability
- Creative tags
- Profile photo
- Social media links
- Website links
- Featured media links
- Portfolio links
- Performance history or experience
- Other information voluntarily submitted by the talent
We may also keep operational information needed to protect, verify, and run the directory, including:
- Email verification requests
- Moderation status
- Notification delivery records
- Audit history
- Submission timestamps
- Limited request information used for anti-spam and rate-limit checks
- Internal notes relating to approval, rejection, correction, or publication
3. How We Use the Information
Echoes of the Wild may use Talent Directory information to:
- Review and moderate profile submissions
- Verify control of the submitted email address
- Contact talent about corrections, approval, publication, or directory operations
- Create and maintain approved public talent profiles
- Promote talent through the Echoes of the Wild platform
- Share talent information with relevant third-party stakeholders
- Prepare proposals, presentations, reports, sponsorship decks, and partnership submissions
- Identify talent for events, campaigns, activations, workshops, media features, or cultural exchange opportunities
- Protect the service from spam, abuse, impersonation, and unauthorised publication
- Improve Echoes of the Wild services, programming, and creative industry database
Email verification proves control of an address. It does not automatically approve or publish a profile.
4. What Becomes Public
Profiles are published only after review and approval by Echoes of the Wild.
A published profile may display:
- Stage name
- Creative category
- Biography
- Availability
- Creative tags
- Profile photo
- Selected links
- Location, where you have chosen to show it
- Public social media or portfolio links
- Featured media links
Your email and phone number remain private unless you select the option to make them public or give permission for them to be shared.
Your full or legal name and internal moderation records are not intended for public display.
5. Sharing With Third Parties, Sponsors, and Stakeholders
By submitting your profile to the Echoes Talent Directory, you agree that Echoes of the Wild may share your submitted information, profile details, portfolio links, images, and creative category with selected third parties where reasonably connected to the purpose of the directory.
These third parties may include:
- Event organisers
- Sponsors
- Brand partners
- Tourism partners
- Media partners
- Government departments
- Creative industry stakeholders
- Funding organisations
- Cultural exchange partners
- Production companies
- Potential clients
- Research, reporting, or development partners
Echoes of the Wild may also include Talent Directory information in sponsorship proposals, business presentations, stakeholder reports, grant applications, marketing materials, website content, social media content, and other company communication.
This is done to promote the Echoes of the Wild platform, grow the creative ecosystem, attract partnerships, and create visibility for listed talent.
6. No Compensation for Use of Directory Information
Talent will not be entitled to payment, royalties, commission, compensation, or any other financial benefit simply because their profile, name, image, category, biography, or information is included in the Echoes Talent Directory, shared with stakeholders, used in proposals, used in reports, presented to sponsors, or used to promote the directory.
Any paid performance, booking, appearance, campaign, endorsement, or professional engagement must be agreed separately in writing between the talent and the relevant party.
Listing on the Talent Directory does not create an employment relationship, agency relationship, management agreement, exclusive representation agreement, or automatic commercial contract with Echoes of the Wild.
7. Future Paid Profiles and Featured Listings
Echoes of the Wild may introduce paid Talent Directory services in the future.
These may include:
- Paid profile listings
- Featured profiles
- Verified profiles
- Premium placement
- Promotional packages
- Portfolio hosting
- Talent marketing services
- Application or administration fees
- Booking or referral commissions
- Subscription-based access
If such services are introduced, the applicable fees, benefits, and conditions will be communicated before payment is required.
Echoes of the Wild reserves the right to change, limit, suspend, or discontinue free listings in the future. Existing free profiles may be asked to upgrade, renew, verify, or confirm continued participation.
8. Talent Responsibilities
By submitting a profile, you confirm that:
- The information you provide is true, accurate, and up to date
- You have the right to submit the profile
- You have permission to use any images, videos, logos, music, or media links submitted
- Your profile does not infringe another person’s rights
- Your profile does not contain false, offensive, harmful, illegal, or misleading content
- You are responsible for updating Echoes of the Wild if your contact details, availability, or profile information changes
Echoes of the Wild may edit, reject, unpublish, suspend, or remove any profile that does not meet its standards or appears false, harmful, incomplete, inappropriate, or unlawful.
9. Service Providers
We use service providers to host the application and database, deliver transactional email, and provide anti-spam protection.
This may include providers such as:
- Resend for email delivery
- Cloudflare Turnstile for submission protection
- Website hosting and database service providers
- Analytics, security, and technical support providers
These providers process only the information needed to provide their service and may process data outside Botswana under their own security and privacy terms.
10. Retention and Deletion
Pending and published profile records are retained while needed for review, verification, publication, support, promotion, reporting, and directory operations.
Rejected or unpublished profiles may be scheduled for permanent deletion after a 30-day retention period through the directory’s operational cleanup process.
Limited records may remain for longer where reasonably required for:
- Security
- Dispute handling
- Fraud prevention
- Legal obligations
- Backup integrity
- Audit purposes
- Business records
- Proof of consent or submission history
You may ask us to correct, unpublish, or delete your profile information, subject to legal, operational, and security requirements.
11. Your Choices and Rights
You may contact Echoes of the Wild to:
- Ask what information we hold about you
- Request correction of your information
- Change which contact or location details are public
- Withdraw your profile from publication
- Request deletion of your profile information
- Opt out of certain communications where applicable
Some information may be retained where required for legal, security, dispute, or business record purposes.
12. Minors
If you are under 18, you must ask a parent or legal guardian to contact us before submitting personal information or creating a Talent Directory profile.
Echoes of the Wild may request parental or guardian consent before approving or publishing a minor’s profile.
13. Changes to This Policy
Echoes of the Wild may update this Talent Directory Privacy and Participation Policy from time to time.
The latest version will be published on www.echoesofthewild.co.bw and will apply from the date of publication.
Continued use of the Talent Directory after changes are published means you accept the updated policy.
